Reports to:  Attorney of Nedelco Services Corporation

Position summary:  Coordinates the administrative and clerical functions for the legal department in accordance with Hamilton policies and procedures.  Enhances attorney effectiveness by tracking contracts, reviewing and drafting documents and communications, and coordinating with management and outside counsel.

Essential functions:
• Create, update, and track a variety of electronic and paper files, records, reports, and related documents; maintain file integrity and confidentiality by monitoring and assuring compliance to company policies and procedures; assure the accuracy of the electronic and paper filing systems.
• Oversee day-to-day office activities; monitor document preparation for accuracy and completion; assist with client services as necessary; coordinate and complete special projects as directed.
• Assist internal and external legal counsel in the coordination, drafting and tracking of legal documents.
• Coordinate company responses to subpoenas and public record requests.
• Respond as directed by the supervising attorney to regulatory and audit inquiries.
• Perform various writing tasks such as prepare reports, draft policy and procedures, develop presentations to facilitate information exchange, and proofread documents for distribution.
• Collect information and compile data for reports as required.
• Update and follow up on delegated tasks to ensure progress on established deadlines while effectively coordinating concurrent tasks assigned by multiple internal customers.
• Maintain absolute confidentiality of work-related issues, personnel records, and company information.

Other responsibilities:  
• Ability and willingness to work non-standard hours as needed.
• Perform similar work-related duties as assigned.

Preferred education, experience, and skills:
• Minimum of two years post-secondary education.
• Three to five years of experience in a legal setting.
• Paralegal certification preferred but not required.
• Ability to use general office equipment.
• Ability to effectively organize and prioritize multiple deadlines and projects.
• Proficient in the utilization of MS Excel, Word and Access, or similar word processing software.
• Ability to read, write, speak and understand English well.
• Strong analytical and interpersonal skills.
• Ability to type a minimum of 50 w.p.m.
